Position: School Business Administrator
Location: Staines, Middlesex
Salary: £21,591 - £21,981 pro rata to (£18,634 - £18,970)
Role: Permanent

Our client is part of a Multi Academy Trust and can draw on the expertise and support it offers. As part of the academy trust and wider family of schools they have access to extensive training and CPD support for all levels of staff. Their Ofsted report in 2016 clearly acknowledges the school is improving with standards rising.
They are now looking to add a School Business Administrator to the staff team to start ASAP!


This role will be 36 hours per week (8.30am – 4.30pm with half an hour for lunch Monday- Tuesday & 8.30am – 4.00pm with half an hour for lunch Wednesday- Friday) over 40 weeks of the year, (term time, plus 5 inset days & 5 additional holiday days).
Duties to include


School Meals
X Preparing daily figures for the Kitchen and liaison with appropriate staff
X Using SIMs system to check school meals’ figures and ensure accuracy
X Manage all School Meals paperwork including that of FSM
X Chasing all dinner money via text and phone messages and ensuring that parents are not accruing debts
X Manage themed lunches with the catering team including promotion and delivery of the events.
X Liaison with parents concerning allergies affecting school meals and advising kitchen and other appropriate staff including ensuring data is recorded accurately on SIMs
X Liaison with Kitchen regarding school trips and arranging packed lunches for FSM children
X Undertaking all paperwork associated with Cool Milk including ensuring that there are adequate supplies and liaising with the company


Finance
• Processing invoices and income onto financial database systems
• Maintaining filing systems
• Order processing
• Administering ParentPay and promote it to replace cash office functions including school journey, school fund account, petty cash accounts and various monies collected from pupils. E.g. lunch monies, educational visits, school photographs. To carry out these functions where necessary
• Assisting with HR administration where required including recruitment, payroll and safeguarding checks.


Office
X To obtain and maintain a First Aid at Work Certificate and keep first aid knowledge up to date.
X To support the office team in maintaining a professional and welcoming area for all parents, visitor, staff and pupils
X Regular maintenance and systematic organisation of office filing systems, retaining documents and correspondence and other records including supporting with those in the SBM office.
X To issue visitor badges and undertake any identification checks as necessary
X Answer the phone in a timely polite manner
X Respond to emails and manage the whole school diary in conjunction with the Deputy Headteacher
X Ensure all returns/census are correctly submitted
X General office duties including; diary maintenance, safe and secure storage of supplies, word processing, letters and copying and distribution of material
X Ensure all school activities have been promoted and communicated to parents/stakeholders via letters/website/emails/text as directed.
X Make sure that text bundles/stamps etc. are kept stocked in the safe
X To co-ordinate after school clubs & extended services
X To manage communication i.e. social media, newsletters etc.


Any other reasonable duties as required by the school management

• Salary of, scale 3 point 5-6 on the 2019 NJC scale Outer London (£21,591-£21,981) per annum pro rata to (£18,634-£18,970).
